Privacy statement NKR

This privacy statement describes how the Dutch Kendo Renmei (NKR) handles your personal data that we receive from you.

What data does the NKR process?

All of the following information is required when you become a member of the NKR:

E-mail address *
First and last name *
Date of birth *
Address
Postal Code
residence
phone number
Sex

If you are not a member or do not wish to become a member, but do want to create an account or register for one of the events that the NKR organizes, then only the data with an * are necessary.

You can also register and log in with your Facebook account for easier login.
The above information is only accessible on the secure part of the NKR website and is not shared with Facebook.
When you choose to log in with your Facebook account, your Facebook profile picture will automatically be used on the NKR website.

If you register your presence at an event organized by the NKR via the website, your location data from your smartphone is required to be able to do this.
Your permission to share your location data is always requested via the NKR website.

What is a user profile at NKR?
A user profile on the  NKR  website gives you access to your own data. You can register for an event (exam, tournament or seminar) that is organized by the NKR and your details will already be filled in when submitting a registration.

Purposes: Why does the NKR process your (personal) data?
The NKR processes this data for the following purposes:

to process your membership with the NKR;
to complete registrations for the various events organized by the NKR;
to enable you to use the NKR website;
to inform you about the NKR;
to be able to perform an age check;
to be able to contact you and respond to questions you have asked;
to improve the Websites and services of the NKR;
to be able to send you any evaluations (of followed events);
to announce tournament results;
for statistical purposes.

Who can view the personal data?

The secretary can view all data and change it on request;
the treasurer can view all data;
the webmasters/administrators can view all data and change it upon request;
technical committee members can only see data from those who have registered for the events they organize.
the chairman and/or board members can only view data at the request of the member.

Data storage and data security

Your data is stored within the European Union;
your data is only accessible to you and to the aforementioned board and/or committee members;
your data and connection are secured with SSL encryption;
your data can only be viewed after logging in with a username and password.

To whom are the personal data provided?
Personal data is provided to the European Kendo Federation (EKF) to process membership, exams, participation in seminars, and/or tournament participation (European and/or World Championships).
The EKF has their own privacy policy for the processing of your (personal) data. The NKR is not responsible for such processing.
Personal data will not be provided to other third parties, unless this is required by law or if you register yourself for, for example, a sports promotion with a third party.

Zanshin
You can register for the Zanshin via your online NKR account. You do this by indicating on your profile that you want this. The Zanshin contains the latest news related to the NKR.

I no longer want to receive the Zanshin. How can I unsubscribe?
You can unsubscribe from the Zanshin in two ways:

  1. by using the opt-out included in each newsletter
  2. by clicking the newsletter option in your profile (via Zanshin and mailing).

I no longer wish to receive the newsletters. How can I unsubscribe?
You can unsubscribe from the newsletters in two ways:

by clicking the newsletter option in your profile (via Zanshin and mailing).

What happens to my data if I delete my NKR?
If you have your NKR account completely deleted, you will no longer have access to your profile. The NKR will no longer use your first name, last name, date of birth, address, and e-mail address (and any telephone numbers you have entered) and will delete it after 2 years, after you are no longer a member of the NKR.
The other data will only be kept for statistical and/or historical purposes. That data can no longer be traced back to you.

Consent for publication on the website and/or in the Zanshin
If you win a prize during one of the tournaments that the NKR organizes, the prize winners will be published on the website and/or in the Zanshin.

Consent to the processing
We ask for your permission to process your data in line with this privacy statement. If you are under the age of 16, this consent must be given by your parent or guardian by law.

Changing this privacy statement
If we change our privacy statement, we will post the updated privacy statement on the Websites. Please check our privacy statement regularly. Changes will take effect as soon as the new privacy statement is posted. If necessary, we will ask you to agree to the new privacy statement.

After termination of NKR membership
The NKR will store personal data for two years after termination of membership, unless a longer retention period is required by law.
After this retention period, all privacy-sensitive data will be anonymized.

Right of access, correction
As a member or online profile holder of the NKR, you have the right to inspect and correct your data. Anyone can create an account on the website and when you are a member of the NKR, you can view and change your own data when necessary.
If you do not have an online account of the NKR, you can send an email (or letter) to the secretary with the request to view and/or correct your data.
A (secure) copy of proof of identity must be attached to the request to ensure that the NKR provides the requested data to the correct person.
The NKR will work on the request within 1 calendar month.

Right to erasure
If you are not a member of the NKR, you can submit a request to be removed from the system.
A (secure) copy of proof of identity must be attached to the request to ensure that the NKR removes the correct data.
The NKR will work on the request within 1 calendar month.

Right to data portability
At your request, your data can be transferred to you and/or to another organization.
A (secure) copy of proof of identity must be attached to the request to ensure that the NKR provides the correct information to the correct person and/or organization.
The NKR will work on the request within 1 calendar month.

The right to object to a certain processing
You can submit a request to object to certain processing.
A (secure) copy of an identity document must be attached to the request to ensure that the NKR will not process the correct data.
The NKR will immediately stop the processing and investigate whether the NKR needs the certain processing of your data to comply with other laws or regulations.

Other processing of (personal) data
This privacy statement only applies to the processing of (personal) data by the NKR.
